The daily email

When it arrives, what it brings and why sometimes nothing arrives.

One a day, at 8am, per organisation and grouped together. It goes out after the overnight sweeps, so it carries what changed last night. The deadline reminders are worked out just before, so the email goes out with them inside.

Never one email per item and never an empty email saying there's nothing. Both are the quickest way to teach someone to file it without opening it, and then the day the alert that matters arrives they won't open that one either.

What it brings

A list of what has moved in what you follow or manage, each line with its label – “A date changes”, “The rules change”, “Deadline” – the name of the call and a link that opens the record. If there are more than fifteen, fifteen are shown and it says how many more are waiting in the dashboard. At the bottom, a button to Alerts. It goes out in the colours you chose in My organisation, so it's recognisable at a glance in the inbox.

The email is put together per person, not per organisation: each one gets only the families they have switched on in their preferences. Urgent things aren't filtered, and when there are any the subject line changes so it shows without opening it.

Why sometimes nothing arrives

  • Nothing has happened in what you follow. That's the most common one, and it's good news.
  • You have the daily digest switched off, or what has happened falls into a family you have switched off. The alerts are still there in the bell.
  • You've already been alerted. Each milestone goes out once: the “closes in 7 days” reminder doesn't come back the next day. The next one you get for that call is the one the day before.
  • You aren't following anything yet. Alerts are only about what's yours: with no saved calls and no grants under way there's nothing to alert you to.

What has been sent is recorded per organisation and not per person, on purpose: someone who joins the team tomorrow won't get last week's alerts all at once as if they were today's. And what has already gone out by email is still on the Alerts screen, unread, until someone marks it.
